ISO 41001 Facility Management Gap Checklist
A clause 4 to 10 gap checklist for a facility management system under ISO 41001:2018, with service level, planned maintenance and facility inspection templates.
A gap checklist for facility management (FM) teams and service providers who want to see how their way of working compares with ISO 41001:2018, the management system standard for facility management. It follows the main clauses of the harmonized structure and stays close to daily FM work: the helpdesk, the maintenance schedule, the cleaning inspection, the contract review meeting.
What is inside
ISO 41001 Facility Management Gap Checklist — 112 checks in twelve sections across clauses 4 to 10: the demand organisation and interested parties, FM policy and roles, objectives and planning, resources and competence, communication and documented information, operational control, coordination with interested parties, integration of hard and soft services, emergency preparedness and continuity, service levels and measurement, internal audit (9.2) and management review (9.3), and improvement. Each check has Conforms / Partial / Gap boxes and space for evidence.
FM Service Level and Inspection Templates — four tables: a service level register, a planned maintenance schedule, a facility inspection record and an inspection action log.
Both documents as a designed, print-ready PDF and as an editable Word file.
Who it is for
Facility managers, in-house FM teams, FM service providers, property and workplace managers, and internal auditors or consultants preparing an FM organisation for an ISO 41001 audit.
How to use it
Start with the demand organisation — the organisation whose needs the facilities and services exist to support — and check that its requirements are understood and agreed. Then walk the services: sample helpdesk requests, maintenance tasks, inspections and provider reports, and look for evidence for each check. Mark Partial where something exists but is informal or applied on some sites only. Turn every Partial and Gap into an action with an owner and a date, and use the templates to put service levels, maintenance and inspections on a documented footing.
The checklist refers to main clauses only, plus 9.2 and 9.3. Standards are reviewed periodically, so check which edition applies to you. Frequencies for statutory inspections, tests and drills are not given: set them from your local regulations and your risk assessment.
